1. Booking Confirmation
A booking with Urbania Rent Chandigarh is considered confirmed only after:
- Written confirmation (via WhatsApp or email) from our team
- Receipt of advance payment as communicated at the time of booking
Verbal or informal requests do not constitute a confirmed booking. Vehicle availability is not guaranteed until advance is received.
2. Cancellation Charges
The following cancellation charges apply based on notice period before the travel date:

| 4 to 7 days before travel | 25% of total booking amount |
| 2 to 3 days before travel | 50% of total booking amount |
| Within 24 hours of travel | 75% of total booking amount |
| No-show / same-day cancellation | 100% — No refund |
3. Refund Process
- Approved refunds will be processed within 7–10 working days from the date of cancellation confirmation.
- Refunds will be made to the same payment method used at the time of booking (UPI, bank transfer, etc.).
- Cash refunds are not provided. All refunds are bank/UPI transfers only.

4. Force Majeure / Circumstances Beyond Control
In the event of cancellation due to circumstances beyond our control — including but not limited to natural disasters, road blockages, heavy snowfall, government restrictions, vehicle breakdown, or medical emergencies of the driver — Urbania Rent Chandigarh will:
- Make every effort to arrange an alternative vehicle
- If no alternative is possible, offer a full refund of the advance paid
- Not be liable for any additional losses, hotel costs, or consequential damages
5. Trip Modification
- Changes to the travel date, destination, or vehicle type are subject to availability and may attract additional charges.
- Date changes requested more than 48 hours in advance will be accommodated where possible at no extra charge.
- Date changes within 48 hours of travel will be treated as a cancellation and re-booking.
6. Non-Refundable Items
The following are non-refundable under any circumstances:
- Toll charges and permit fees already paid on behalf of the customer
- Driver allowance for trips already commenced
- Any amount paid for Rohtang Pass or other special permits
